AI Receptionist
AI receptionist for hair and beauty salons
Nobody can answer a phone with their hands in someone's hair.
The problem
What a missed call costs you
Salon economics are chair time, and chair time leaks two ways: calls never answered during a full day, and gaps left by cancellations nobody had time to backfill. Both are phone problems. Social brings the enquiry, but the booking still happens by call or message, and a salon at full capacity is precisely the salon that cannot pick up.
The pattern is well documented across service businesses: a large share of inbound calls go unanswered, and most callers who reach voicemail never call back. They call the next result instead. That is the entire problem an AI receptionist solves — not clever conversation, just the fact that it always answers.
The calls it handles
Briefed on the conversations a salon actually has, not a generic script.
New bookings
Service, stylist preference and length captured accurately, so a colour correction is not booked into a thirty-minute slot. Written to your diary during the call.
Rescheduling and cancellations
Handled without interrupting a stylist mid-service, and the freed slot offered on rather than left empty.
Price and service questions
What a service costs, how long it takes, whether a patch test is needed. Answered consistently from information you supply, which is not what happens when four different people answer the phone.
Out-of-hours enquiries
Salons close when clients are free. Evening and Sunday enquiries get booked rather than left for Monday, by which point people have booked elsewhere.
Intake
What it collects before booking
The details your team would ask for, gathered consistently on every call so the job arrives ready to schedule rather than needing a call back.
- Service wanted, and whether they have had it here before
- Preferred stylist, or no preference
- Hair length and current colour where it affects timing
- Whether a patch test has been done, and when
- Preferred days and times, and how flexible
- Whether they are a returning client
Process
How we would build it
No discovery phase that bills for months. The first call is free and the proposal is fixed before anything is built.
-
Discovery call
Thirty minutes on how work reaches you today and where it stalls. You leave with a clear view of what is worth automating first, whether or not you hire us.
-
Written proposal
A fixed scope, a fixed price and a timeline, in writing, before any work begins. If we think a smaller piece would prove the value faster, we propose that instead.
-
Build and integrate
We build against your real stack and your real data, not a demo environment. You see progress as it happens rather than at a reveal.
-
Test with live traffic
Nothing takes over a customer conversation until it has been tested against how your enquiries actually arrive. We start narrow and widen once it holds.
-
Measure and adjust
Reporting on the numbers that matter — calls answered, enquiries qualified, time saved — and adjustments based on what the data shows.
FAQ
AI receptionists for salons, answered
If something is not covered here, ask us on the call — a straight answer costs you nothing.
Can it book the right service length?
Yes, from your service list and durations. This matters more in salons than most trades: a full head of highlights booked into a cut slot costs you the rest of the afternoon, so the intake is built around getting the length right.
What about patch tests?
It asks, and where your policy requires one before a colour service it says so and books the test rather than the appointment. That rule is yours to set, and it then applies consistently, which is hard to guarantee across a busy team.
Most of our bookings come from Instagram.
Then the phone is your second channel and probably the neglected one. It is also where higher-value and older clients tend to book. Worth checking your missed-call count before assuming social covers it.
Can it fill last-minute cancellations?
It can offer the slot to callers and log the gap. Proactively ringing a waitlist is outbound work, which is a separate build we can scope.
